About this complaint handling process flowchart

A complaint handled well can keep a customer. This flowchart gives agents a clear path: acknowledge quickly, investigate, resolve or escalate, and confirm the customer accepts before closing. The last step records the root cause so the same complaint happens less often.

It fits support, retail and service teams. Add regulatory steps if your industry has complaint rules.

Step by step

  1. Log. Record the complaint and acknowledge it.
  2. Investigate. Find out what happened.
  3. Resolve or escalate. Agents resolve what they can; the rest goes to a manager.
  4. Confirm. If the customer doesn't accept, a complaints lead reviews it and a revised resolution is offered.
  5. Learn. Record the root cause before closing.
